Position Information

BASIC FUNCTION:

Provides day-to-day management/supervision of student Records Office. Responsible for maintenance of academic records; all facets of academic registration for all law students; recordation of all official grades reported from courses offered; and certification of completion of academic requirements for all law school graduates each year.

SUPERVISORY ACCOUNTABILITY:

Has responsibility or authority for the direction of Enrollment Specialist.

NATURE AND SCOPE:

Internal contacts include administrators, faculty, students and staff of the department. External contacts include University officials, federal investigators, and any other law affiliated institutions and agencies.

PRINCIPAL ACCOUNTABILITIES:

  • Provides leadership and direction to the daily operations of the office and the staff.
  • Develops policies and procedures for the Law School Records Office and maintenance of student records and other pertinent documents related to grades, registration and graduation, and insures that these are implemented correctly.
  • Responsible for all facets of academic registration for all law students; recording of all official grades from courses; and certification of completion of academic requirements for graduation.
  • Processes grades received from faculty and transfer credits and converting a variety of grade components into a format conducive to calculation of final grades. Records grades on registrars grade sheets and in the University Banner system.
  • Calculate GPAs and class rank of students for Career Services and Financial Aid offices, and determines eligibility for Law Journal membership, Deans Awards and other honors.
  • Audits control cards for completion of academic requirements for graduation, advises Associate Dean of Student Affairs and Admissions of any problems, and provides list of eligible graduates for faculty certification.
  • Supervises the judicious release of records requested by federal investigators.
  • Ensures the integrity, accuracy, security and confidentiality of student records.
  • Reviews course offerings, schedules and other registration materials for accuracy, and works with Office of Enrollment Management/Records to devise registration schedules and procedures; prepares registration materials for students; implements registration and add/drop procedures and schedules. Supervises the maintenance, updating and filing of registration materials and records of students.
  • Provides all data necessary in prospective graduates files to generate diplomas for graduates. Obtains diplomas and proofs for accuracy.
  • Maintaining archival records and providing assistance to administrators, faculty and others; verifying enrollment, grades etc. of former students and graduates.
  • Planning, supervising and performing statistical research for completion of annual and other reports.
  • Responds to a variety of telephone and/or written inquiries and communications.
  • Performs any other duties as may be assigned by Associate Dean for Student Affairs or other Executive Administration.

  • MINIMUM REQUIREMENTS:

    Bachelors degree and four (4) years experience in records management or 7 years of equivalent education and experience in admissions, records, recruitment and/or administration.
